Role: Administrative Assistant
Location: Martinez, CA (5 days onsite)
Duration: 6-12 months
Pay Rate: $30 to $35
Overview: We are seeking a detail-oriented Program & Contracts Coordination Specialist to provide operational and administrative support for special projects. This role focuses on program coordination, contract management support, documentation, scheduling, and compliance activities. The ideal candidate will have experience working with service providers and program partners, supporting contracts, budgets, and audits while ensuring timely workflow execution and accurate recordkeeping.
Key Responsibilities:
- Provide program coordination support for special projects and initiatives
- Manage referrals, trackers, and program-related documentation
- Coordinate scheduling logistics, follow-ups, and stakeholder communications
- Support meetings and workgroups, including preparation and documentation
- Maintain organized document and file management systems
- Assist with contract management activities, including tracking deliverables and timelines
- Support policy interpretation and ensure alignment with program requirements
- Assist with audit preparation and compliance-related documentation
- Coordinate with internal staff and external partners to collect required materials and approvals
- Ensure contracts and related documents move through approval workflows in a timely manner
Required Skills & Qualifications:

- Experience developing scopes of work (SOWs) for service providers and program partners
- Ability to conduct budget reviews, identify discrepancies, and ensure alignment with program requirements
- Working knowledge of contract management processes, including:
- Tracking deliverables
- Monitoring timelines
- Supporting compliance requirements
- Strong coordination skills with both internal teams and external partners
- Excellent attention to detail and organizational skills
- Ability to maintain accurate records for reporting and audit purposes
- Strong written and verbal communication skills
