Role: Project Manager — Ambulatory Practice Management & Access (Business Operations)
Location: Martinez, CA (50% onsite)
Duration: 6 Months Contract to Hire
Pay Rate: $60 to $65
Summary: The Client is seeking a Project Manager to lead the modernization and standardization of Clients Regional Medical Center ambulatory operations across three focus areas: Practice Management & Access, Credentialing & Privileging (C&P/MSO), and the Appointment Unit (AU). The PM will drive cross-functional execution to digitize and streamline C&P processes, move all provider schedules into an electronic system for real-time access management, stand up a sustainable Template Management function, and optimize AU scheduling and telephony workflows. Outcomes include reduced credentialing cycle times, improved patient access and appointment availability (e.g., TNAA), higher scheduling efficiency, and measurable gains in patient and provider experience.
Key Responsibilities:
- Program & Governance
- Stand up and facilitate governance for Practice Management, C&P, and AU (operational committees, daily/weekly huddles, decision logs, RAID).
- Coordinate with operational leaders, MSO, AU, clinic leadership, Quality, Change Management, BI, and IT to align priorities and remove blockers.
- Planning & Delivery
- Build and manage integrated project plans, timelines, dependencies, and risks across all three workstreams; drive on-time delivery of major milestones.
- Lead root-cause analysis on scheduling, staffing, and recruitment challenges; translate findings into targeted workflow and policy changes.
- Workflow Modernization
- Map current/future-state workflows for provider scheduling, template management, departmental scheduling policies, AU call handling and referral management, and end-to-end C&P (initial, re-credentialing, privileging).
- Transition paper/email workflows to trackable digital processes; implement standard work and knowledge management for all teams.
- Epic & Technology Enablement
- Partner with IT to implement/optimize Epic Ambulatory (Cadence) including the potential for implementation of electronic solutions such as Epic’s Teamwork module or UKG Advanced Scheduling for real-time schedule management; form a Template Management Team to improve Epic provider schedule maintenance.
- Coordinate AU telephony enhancements (e.g., InContact upgrades) and evaluate AI/automation tools for forecasting, decision trees, and workflow efficiency.
- Support C&P system improvements (e.g., provider tracking/credentialing platform, automation for reminders, file digitization; explore integration with automated tools and partners to expedite checks as appropriate [CVO/PECOS]).
- Transparency, Reporting & Change
- Define and track KPIs (TNAA/3NA, continuity, template utilization, provider/room utilization, C&P cycle times, expirables, AU service metrics).
- Partner with BI to build dashboards and routine executive updates; monitor compliance with Joint Commission/CMS standards.
- Plan and deliver training, role clarity, and knowledge assets to sustain new processes.
- Communications & Stakeholder Management
- Own agendas, notes, action items, and status reports; maintain project artifacts using CCH standards and tools.
Key Responsibilities:
- Manage project plans, timelines, deliverables, and risks.
- Coordinate with operational leads, clinical leadership, Quality department, Change Management, Business Intelligence, and IT teams.
- Facilitate progress reporting and executive updates.
- Drive effective cross-functional collaboration and decision-making.
- Maintain project documentation and track performance metrics.
- Utilize organizational tools and process developed by Office of Strategic Initiatives
- Coordinate project meetings including setting meeting agenda, notes and action items
- Monitor project impact, track, and report results on clinical quality and patient experience metrics
Qualifications:
- Bachelor’s required; Master’s in nursing, behavioral science, business administration, public health, health care administration, or a closely related field.
- 4+ years PM/analyst experience in healthcare, including ≥2 yrs performing quality measurement or quality improvement activities
- Experience managing operational healthcare projects.
- Strong collaboration, communication, and organizational skills.
- Experience with healthcare operations and change management (required).
- Familiarity with Epic Ambulatory Scheduling (Cadence) or Symplr Credentialing System (preferred).
- Certifications: PMP or Certified Scrum Master (preferred).
